How can my data possibly get corrupted? I just bought a new computer with tons of RAM and Hard disk space.
When you break down the causes for data corruption you will find that 80% of all data corruption is the direct result of power problems while only 20% is related to hardware failures and human error. So what does all this mean? If you have bad wiring in your building for example that cause fluctuations in the voltage supply to your computer a simple surge protector will not provide sufficient protection. Your hard disk needs a steady supply of voltage to it while it is being written to, if there is even a small dip or spike in the voltage your data will be corrupted. This can be prevented by having each workstation hooked up to a UPS (Uninterruptible Power Supply) or what some people call a battery backup unit. This feeds your computer with an uninterrupted voltage source which is drawn from the battery while the battery recharges itself off of the main power source.

Why are backups so important?
There are a number of things that can happen to your computer that can spell disaster for your business if you do not have proper backups. Everything from hard-disk failure to getting hit by lightning to outright theft of your computer system. Imagine what would happen to your business if suddenly you had no record whatsoever of all outstanding invoices and had no idea of how much money owed? A few hundred dollars spent now on a reliable backup system could possibly save you thousands in the future.

What files should I backup?
On your Main Computer, your database files for Process Server's Toolbox are typically located under c:\dbs\pst and will have an extension of .ps5. Your database files for Courier Service Toolbox are typically located under c:\dbs\cst & will have an extension of .cs3. These files should be backed up on a daily basis. If you have trouble locating the .ps5 files, you can also backup the entire DBS folder.

How do I make a backup?
This process will vary depending on what media you are using to make a backup. There are several storage devices you can use, here are some of the more common forms of media:

  • CD / DVD
  • Flash Drive
  • External Hard Disk Drive (HDD)
  • Zip Drive

If you are backing up to a Flash Drive, External HDD or Zip Drive & wish to backup your entire DBS folder, follow these instructions: Go to "My Computer". Double-click on your "C:\" drive. Right-Click on the "DBS" folder, hover over "Send To" & select your device (this process must be done from your Main computer).

If you are backing up to a CD & are using Windows XP, or Windows Vista, follow these instructions: Insert CD, go to "My Computer". Double-click on your "C:\" drive. Right-Click on the "DBS" folder, hover over "Send To" & select your "CD Drive". After the files are finished transferring a balloon will appear in the bottom right corner of your screen (the balloon will say "You have files waiting to be written to the CD"). Click inside that balloon. A new window will come up showing you the folder that you sent to the CD. On the left side of the window you should see an option that says "Write these files to CD" (if you do not see this option, select the "File" menu & choose "Write these files to CD"). Once that is done, a CD Writing Wizard will come up. Simply click "Next" & your CD should begin recording.

If you are trying to backup your data to a CD using any Operating System older than Windows XP, you will need to use whatever software your CD Burner came with to make a backup.

What is LiveBac Central?
LiveBac Central is used as a "Live Backup". This function can be started by going to "Utilities>LiveBac Central" & clicking the "Start" button. This function will copy changes made in your database to two folders (which are located in the same place your data is stored). The folder names are "LiveBac1" & "LiveBac2". As you make changes to your data, LiveBac Central will copy those changes to the Databases in your LiveBac folders. This will give you an up to the minute copy of your data, which can be used if a data corruption cannot be repaired.
Note: The Location of the LiveBac folders cannot be changed.
