Welcome to the one of the hottest features PST offers! Your Clients can now see the "Status" of their jobs via the Internet. Your Servers can update their jobs immediately using the Palm Pilot VII and you can have jobs that you receive from other PST users automatically logged into your copy of PST!!

SENDING "STATUS TO THE WEB"

By now, most of you have already gone through this procedure a few times. The most important tip here is: You need to run "Status to the Web" everyday! All day if possible. To get the best use out of the Web Service Pack, you should have the data on the web as current as your main data files. Make sure that you see all data files going up. The names of the files you will see are TYPESERVICE, TSDETAIL, CASES, ENTITIES, PLONGS, CASES and PAPERS. The "Papers" database is the last file to be sent up. It is very important to continue running your update until you see "Papers" marked "0" and "Yes" for complete! You will also see: CHECKING FOR NEW JOBS, CHECKING FOR NEW COMMENTS, CHECKING FOR PALM UPDATES, CHECKING FOR AGENT JOB UPDATES and CHECKING AGENT COMMENTS.

SETTING UP A CLIENT’S LOGIN NAME AND PASSWORD WITH EMAIL NOTIFICATION

To set up a Client to check the status of their jobs, you must give them the authority to do so. You will need to give them their OWN Login Name and Password.

  1. Go to Setup>Clients>Add/Edit Client.
  2. Accept the correct Client. Click Internet. The fields to be filled in for the Client are the Login Name, Password, and Email Notification.
  3. The Login Name and Password (LN/P) must be 4-20 characters long. The Login Name must begin with your three-letter identifier (i.e. DBS) which is located in the Edit Licensee under the Set up menu. (Note: the identifier is part of the 4-20 characters.) The Password has no specific requirements other than the length. The LN/P are NOT case sensitive and DO NOT CHECK "ALLOW UPDATES" FOR THE CLIENT.
  4. The Email Notification requires your Client’s email address and either one or both of the notifications to be checked. (We recommend that you first send a test email to your Client via your email account to insure the accuracy of the address.) When you have completed filling in the LN/P and Email Notification, click accept to save your changes. You will then need to run "Status to the Web". Once you have run the update, we recommend that YOU log in with those Clients LN/P to be sure YOU can see those jobs for that Client.
  5. To log in, go to www.dbsinfo.com (then select Web Status) or www.pstprostatus.net. Here you will enter the appropriate LOGIN you’re trying to verify. Once logged in, you should see THAT Client’s status. If you can’t log in for some reason, go back to the Client set up and be sure there was no misspelling in the LN/P. Once you are satisfied with the results, give your Client their LN/P. (NOTE: If you are getting "Invalid User Name and Password and you are certain everything is perfect, then check your "Cookies" setting. You must have "Enable all Cookies" set in order for you to login into web sites.)
  6. You can also put a link to www.pstprostatus.net right on your web site! Just go to this link and right click, a small menu will drop down, left click on "Source Code". This Source Code is what is required for your link! If you have a web designer, show them. You can also give us a call and we will show you some samples web sites to go by!

REMEMBER: Any and all changes must be sent to the web in order for accurate information to be viewed. Also, it is necessary that you give each and every Client their very OWN and DIFFERENT Login Name.

 

EMAIL NOTIFICATION AND WHAT IT DOES:

If you would like your Clients to receive an email notification automatically when a job has been updated or has been served, then this is what you have been waiting for! When you set up your Client for Notify when job done or Notify of Changes, we will automatically send an email to your client when the criteria has been met. In detail, if you only want your Client to be notified when a job has been served and closed out, you will check "Notify when job done". If you would like your Client to be updated each time you log in a status comment, then check "Notify of changes". You can have both options checked if you prefer! Your Clients can respond to those emails if necessary, saving them time from having to open up a new email!!

We do send you a copy of the same emails your Clients receive, so you can browse them to check for accuracy or promptness. If you do not want to be copied, just email or call us and we will discontinue that. You will be automatically notified if you have a bad email address in your Clients set up. However, you do not want this delay, so be sure to check for accuracy before entering the email address.

SETTING UP THE PALM PILOT VII (VIIx) and

SERVER LOGIN NAME AND PASSWORD:

The Palm VII series (VII, VIIx, i705) are wireless, hand-held devices that allow the Process Server to update their jobs as they are making attempts/serves. You do not need to purchase or use a Palm to use the WSP. We have created and stored a file called PST Status.pqa in the PST Full Install. This file allows the Process Server to login to the SQL Server and downloads their jobs. Once the Server is logged in, We maintain their connection for 18 hours. First, you need to set up your Server with a Login Name and Password (LN/P) so they have authorization to download and update their jobs.

Once the jobs are downloaded, the Server will select the PST tracking number they want to update and fill in the appropriate boxes. Once they Update the Job, those comments are stored on the SQL Server until they are downloaded in the office. Running "Status to the Web" will download and log the comments into the appropriate jobs. After this has been accomplished, you will need to go to Jobs> Review> Jobs with Unreviewed Comments and view each of the updates. If you want the Clients to see specific comments, then check SR for Status Report and REV for Reviewed. If you DO NOT want the comments available to your Client, then only check REV so you know you have reviewed the comment.

Server Login Name and Password set up (1-3):

  1. You will need to set up the Process Server with a LN/P. Go to Set up>Servers>Add/Edit Server, accept the correct Server. Click Internet.
  2. The fields to be set up for the Process Servers are the Login Name and Password. Same rules apply! Once you have created the LN/P, you need to check Allow Updates. Checking this box will allow your Server to update their jobs via the Palm Pilot or through their PC at home. (Yes, your Server can update his/her jobs by logging into the same place as your Clients. They will see a screen similar to the one on the Palm Pilot. They just choose the job number they wish to update and fill in the appropriate fields.)
  3. Once you have completed this set up and any other set ups, you will always need to run the "Status to the Web". If not using Palm Pilot, you can skip 4-7.
  4. You should know how to work the Palm Pilot before trying this at home (hahaha). The PST Status.pqa file needs to be loaded onto the Palm. This file is located in any PST folder (c:\DBS\PST). In order for you to load the file on the Palm, you must have installed the Palm software on the computer that has PST or you can have the file emailed to you at home and open the mail on the computer with the software. When you double click the file, your Palm software will register the file to be "hot synched". You then choose "Done". Place the Palm Pilot in the cradle and "hot synch" the file on to your Palm. Once the file is loaded, you will see an icon called PST Status. The "PST Status" is usually located on the Palm.net screen.
  5. Touch the icon and you will see Update Jobs Now and Login User Name and Password.
  6. The Server will need to Log in. Once logged in successfully, the Server does not need to login again for 18 hours. Now you are ready to Update Jobs Now. We recommend only updating this list once a day or when you have picked up new jobs. You can always go back to the previous job lists by going through the "History" selection.
  7. Once the jobs are downloaded, choose the PST job number you are trying to update and fill in the appropriate fields. Click "Update job" and move on to the next job. You will need to get familiar with your stylus so you can make written comments if necessary or use the abc/123 in the graffiti box.

 

SETUP > COMMENTS (Status) for REVIEW (version 5.5a or higher)

For those of you who want to REVIEW COMMENTS on jobs coming from your Trading Partner or your Server using the Palm Pilot, you will need to go to Setup>Comments and check "Comments entered via Palm, Web and from Remote Servers (Via WSP) must be manually reviewed". Once you have set up this requirement, those jobs can be seen collectively under Jobs>Review>JOBS WITH UNREVIEWED COMMENTS. The comments/status on these jobs WILL NOT be viewable to your Client until they have been checked REV (for Reviewed) and SR (Status Report).

 

How to set up the PST to PST TRANSFER

What does PST to PST transfer mean? This is one of the hottest ideas of the WSP. You and another PST user can trade jobs without having to wait for the physical paperwork to arrive first. To use this feature, both PST users need to be on the WSP. It is important that all of your data stays current on the Web! Once you and your potential trading partner are ready to start trading jobs via the WSP, you need to place your 3-letter identifier in each other’s copy of PST.

  1. BEFORE trading jobs, it is very important that you communicate with your trading partner that you are ready to set up this procedure. This needs to be done simultaneously with the other user, so PST knows when to start sending or receiving each other’s jobs. To start trading jobs, set up each other’s Identifier in the respective Client setups. Go to Set Up>Clients>Add/Edit Clients and accept your trading partner’s record and click Internet. Place their 3 Letter identifier in the "PST to PST" field. Your PST identifier is located in your Edit Licensee info as noted above. You give YOUR identifier to the PST user you will be trading jobs with.
  2. This Client possibly has two records in your copy of PST, one as a Client and one as a Server. You need to choose ONE of those records, accept it and make it active as a Client and a Server! To do this, check both Client and Server options at the bottom of the record and then click "Options" and check "Client Active" and/or "Server Active". You need to make the second record inactive so that you do not continue to attach jobs to it. (To make a record "Inactive", go to "Set Up, choose the other record and accept. Click "Options" and uncheck "Client/Server Active".)
  3. Once you have completed setting up the identifiers, you both need to run "Status to the Web" and update the SQL Server at the same time. From this point on, any jobs that are attached to those records will be sent and/or received by your trading partner.
  4. You continue to receive your New Jobs and/or Updates by "Running the Status to the Web". If there are any new job or comments to be downloaded, you will see the window saying "Checking for New Jobs", "Checking for New Comments", "Checking for Agent Updates", "Checking for Palm Updates", "Checking for Agent Job Updates", and/or "Checking for Agent Comments".

 

Jobs>Review>UPDATES FROM THE WEB SERVICES PACKAGE

What is this? This report is the best place to go and see what new jobs and/or updates you have received from your Agent (Server), Client or Palm user(s). It is similar to the Unfinished Jobs Report. The column called "Update Type" indicates whom the update is from. The jobs are defined as a New Job, Client Update or Agent Update. You can also sort this list by each column header if you choose.

 

How to use the "Updates from the WSP"

You can view the individual job without removing it from the list. To view the individual job, put the blue highlight on that job and right click. You will have small menu pop up. Choose View job and the "Job Status" screen will pop up. If you want to remove a job from the list without viewing it first, highlight that job, right click again and choose Remove from WSP updates or just by editing the job and hitting accept with or with out changes. If the job is not complete, it will still remain on the Unfinished jobs report.

 

What to do with a NEW JOB from the WSP

When you start receiving new jobs through the WSP, they’re automatically logged into your copy of PST with YOUR next tracking number. The "Updates from the WSP" report tells you what jobs you should be expecting to serve. Edit the Job, assign the server and print out a field sheet. We recommend you set a standard for this task. For example, you may want to just review the report to see how many jobs you will receiving and assign your servers then, and/or after receiving the physical paperwork, and then you may want to assign your Server.

  1. To assign a Server, edit the job, click inside the Server block, select your Server and license area. Once you have assigned your Server, PST automatically creates a comment for your Client telling them that you have "ASSIGNED JOB TO OUR SERVER". When you run "Status to the Web" your Client will receive this update on their "Update from the WSP" report. This comment is automatically logged into their job and vice-versa. However, if you are the client receiving this comment and do not want this comment viewable to YOUR Client, just check the REV box and uncheck the SR box!

 

What to do with a COMPLETED JOB from PST to PST Transfer

Once you have received a completed job from your Server via the Web, you need to "edit the job" and finish the "Service Details".

  1. "Edit the existing job", the DATE and TIME in the SERVICE DETAILS are filled in. This is an indication that the job HAS BEEN SERVED. You will need to go into COMMENTS and see what TYPE OF SERVICE was used in completing the service of process. You need to use your own similar type of service to close out your job in PST.
  2. Verify and print the INVOICE, wait for the affidavit to arrive and off to your Client.
